Is a Notion subscription tracker good enough?

What Notion does well

Structure you control. Provider, amount, currency, cycle, multiplier, next renewal, status, who pays, cancellation route. Add exactly the fields you want.

Formulas for normalised cost. Divide annual amounts by twelve, sum the column, get a monthly figure that makes annual and monthly plans comparable.

Views. Group by category to spot overlap, sort by annual cost for a review, filter to active.

It lives where your other notes are, which matters more than it sounds — a tool you already have open gets updated.

For a list of twenty subscriptions maintained by one person, this is a good system and there is no reason to be talked out of it.

Where it breaks

Notification timing. Notion reminders are tied to date properties and are not built for "thirty days before this rolling date, by email, reliably." That is the specific thing a subscription system exists to do, and it is the specific thing that does not work well here.

Recurring date maths. When a subscription renews, the next date has to be recalculated. A formula can do it; keeping it correct across monthly, quarterly, annual and every-eighteen-months plans is more work than the list itself.

Currency. Multi-currency totals need a rates table you maintain by hand, and a converted figure drifts as rates move.

Price history. Overwrite an amount when a price rises and the previous figure is gone. You lose the ability to notice the increase at all.

Three ways to close the gap

Keep Notion, add a calendar. Create a recurring calendar event per renewal with the right alert lead time. Free, reliable, and twenty events to maintain by hand — which is where most people stop.

Keep Notion, move only the alerting. Some people keep the database as the record and use a tracker purely for reminders. Duplicated maintenance, but honest about what each is for.

Move the list. A tracker with a live calendar feed puts renewals in the calendar you already check and updates automatically as subscriptions change, without twenty manual events.

Which is right depends on whether Notion is your system of record for everything or just for this.

Das ist die Voraussetzung für automatische Erkennung, und es bedeutet, dass ein Dritter sieht, wo du überall Geld ausgibst — nicht nur deine Abos, solange die Verbindung offen ist.

Ein manueller Tracker weiss, was du eingetippt hast: Anbieter, Betrag, Verlängerungsdatum. Es gibt keine Transaktionshistorie, weil nie eine erhoben wurde. Die Liste mitnehmen

Weniger Arbeit als es aussieht, weil die Liste bereits existiert.

Zuerst aus dem alten Werkzeug exportieren. Die meisten bieten CSV. Wenn nicht, reicht ein Screenshot — gebraucht werden nur Anbieter, Betrag, Intervall und Verlängerungsdatum.

Importieren statt abtippen. SubTracker importiert CSV aus einem anderen Tracker, einem Bankexport oder einer Tabelle auf dem kostenlosen Plan, ordnet die Spalten automatisch zu und zeigt eine Vorschau, bevor etwas geschrieben wird. Jede importierte Zeile trägt eine Batch-ID, der Import lässt sich also in einem Schritt rückgängig machen.

Erinnerungszeiten gleich mitsetzen. Sieben Tage bei monatlichen Plänen, dreissig oder mehr bei jährlichen — Kündigungsfristen von dreissig Tagen sind üblich, und eine Erinnerung innerhalb dieser Frist kommt zu spät.

Einen Zyklus lang parallel laufen lassen. Danach das alte Konto schliessen — und eine bestehende Bankverbindung getrennt widerrufen. Das Löschen des Kontos beendet nicht automatisch den Aggregator-Zugriff.

Wo SubTracker nicht die Antwort ist

Notion is where you already work. A tool you open daily beats a better one you forget. If you check the database weekly and have never been surprised by a renewal, the system is working.
